ChatGPT Projects Not Working? Fix Missing Chats, Files and Instructions

ChatGPT Projects can keep conversations, files, instructions and memory together, but several different problems are described by users as “Projects not working.” The Projects option may be missing, a chat may refuse to move, an uploaded file may not be used, or ChatGPT may ignore the project instructions.

These issues do not all have the same fix. Begin by identifying which part is failing, then use the relevant steps below.

  1. Confirm that you are signed in to the intended ChatGPT account.
  2. Refresh the web page or fully restart the mobile or desktop app.
  3. Update the ChatGPT app and try the web version.
  4. Open a new conversation inside the project.
  5. Check whether the problem affects one project or every project.
  6. Test without a VPN, proxy or browser extension.
  7. Check the OpenAI status page for an active incident.

The Projects option is missing

You are not signed in

Projects require a ChatGPT account. A logged-out home page may show basic chat controls without your project list. Sign in using the same account and authentication method used previously.

The sidebar is collapsed

Open the sidebar and look for Projects or a New project control. On a narrow browser window or phone, the navigation may be hidden behind the menu button.

Your app is outdated

Update ChatGPT through the official App Store, Google Play Store or desktop update process. If the app still lacks Projects, check chatgpt.com in a supported browser.

A workspace administrator disabled the feature

Business, Enterprise or education workspaces can restrict tools. Switch to the correct workspace or ask the administrator whether creating and managing Projects is allowed.

“Move to project” is missing

Not every conversation can be transferred. Chats created with certain GPTs cannot be moved into a Project. Temporary Chats cannot be added either. Start a new conversation inside the desired project and copy only the non-sensitive information you still need.

If an ordinary chat should be eligible, open its three-dot menu from the chat list. Try the web interface if the mobile menu does not display the option.

A moved chat disappeared

After moving a chat, it no longer appears in its old position in the general list. Open the destination project and look through its conversations. You can also use ChatGPT’s chat search.

Files will not upload to a Project

The Project reached its file limit

File caps depend on the ChatGPT plan. Remove obsolete files, combine related documents or make another project. Only a limited number of files can be uploaded at the same time, so split a large batch.

The file is too large or unsupported

Try a smaller copy in a common format such as PDF, DOCX, XLSX, CSV, TXT, JPG or PNG where appropriate. Password-protected, corrupted or unusually encoded files may fail.

A file with the same name already exists

If ChatGPT reports a duplicate, choose the displayed Upload anyway or Skip option. Renaming the new file with a version number can prevent confusion.

The upload stalls

ChatGPT uploaded the file but ignores it

An upload completing does not guarantee that every page or embedded image was interpreted correctly. Ask ChatGPT to identify the file and quote or cite the section used for its answer.

Use only the file named Policy-v3.pdf. Before answering, state the section heading and page number supporting each important point. If the information is not present, say so.

Project instructions are being ignored

The instruction is vague

Replace “write better answers” with measurable directions covering audience, format, length, tone and required checks.

The conversation contains conflicting requests

A later user message may override an earlier preference. Start a new project chat and test the instruction with a simple request.

The instruction is buried in a long block

Keep permanent rules short. Move background information into a reference file, and reserve project instructions for behaviour that should apply repeatedly.

You edited global Custom Instructions instead

Open the project menu and confirm that the rule appears in Project settings. Project instructions apply only inside that project and override conflicting global Custom Instructions.

Project memory is not working

Project memory depends on both the project’s selected mode and the account or workspace memory controls. For many personal accounts, Reference saved memories and Reference chat history must be enabled before project memory can behave as expected.

Open the project menu, select Project settings and inspect the Memory choice. Changes to a project’s memory setting may take time to apply. Shared projects use project-only memory and do not pull in a participant’s personal memories outside the project.

A shared Project cannot be opened

  • Confirm that you are signed in to the email address that was invited.
  • Ask the owner whether the invitation or link is still active.
  • Check whether the Project is limited to members of a particular workspace.
  • Ask the owner to review your Chat or Edit access level.
  • Try the link in the current web interface rather than an outdated app.

Members of a shared project may be able to see its chats, files, instructions and participant list. Do not upload material that other project members should not access.

A deleted Project is missing

Deleting a Project permanently removes its chats, files and instructions from the interface and cannot be undone through a recycle bin. If you only want to reduce clutter, do not use Delete until you have saved anything important elsewhere.

ChatGPT gives a network or loading error inside Projects

A safe order for fixing stubborn Project problems

  1. Copy any unsaved prompt or important text.
  2. Start a new chat inside the same project.
  3. Test with one small supported file.
  4. Confirm the project instruction with a simple formatting request.
  5. Refresh or restart the app.
  6. Try an incognito browser window without extensions.
  7. Try another network and disable the VPN or proxy.
  8. Check the OpenAI status page.
  9. Collect the project URL, time, device, app version and exact error before contacting support.

Why can I create a Project but not upload more files?

You may have reached the plan’s per-project file limit or the temporary upload limit. Remove unused sources or divide the material between projects.

Why does a Project answer using the wrong document?

Name the exact source in the prompt and ask for page or section references. Remove outdated versions if they should no longer be used.

Why is project-only memory unavailable?

The required account or workspace memory settings may be disabled, or an administrator may restrict them. Check both personal and workspace controls.
