Uploading a PDF, spreadsheet, presentation, or image is one of the easiest ways to give ChatGPT useful context. However, the upload can fail before the file is processed, stop with an “upload limit reached” warning or appear to complete without producing a useful answer.
The cause is not always the file’s visible size. ChatGPT applies different limits to documents, spreadsheets and images, while account storage, recent upload activity, the selected workspace and a service outage can also affect uploads. Check the ChatGPT file upload limits first
According to OpenAI’s current File Uploads FAQ, a file uploaded to a ChatGPT conversation or GPT has a hard limit of 512MB. That headline figure does not apply equally to every type of content.

OpenAI also documents a rolling rate limit of up to 80 uploads every three hours for eligible users, subject to plan and service conditions. Failed attempts can sometimes count toward that rate. Storage is shared across conversations, Projects and custom GPT knowledge: the documented cap is 25GB per end user and 100GB per organization.
Which file formats does ChatGPT support?
Common document and data formats are supported, including PDF, DOCX, PPTX, XLSX, XLS, CSV, TSV and TXT. A native .gdoc file is not currently supported. Export a Google document as PDF or DOCX before uploading it.
Password-protected, corrupted or unusually encoded files may still fail even when their extension appears valid. Check the actual file size in your device’s file manager. Remember that a 40MB image exceeds the image limit even though it is well below the general 512MB ceiling. For a spreadsheet, aim comfortably below the approximate 50MB limit rather than trying to upload a file at the boundary.
2. Upload one file instead of a batch
If several files fail together, try the most important file by itself. This helps identify a single damaged or unsupported file and avoids hitting simultaneous-upload restrictions. Once it succeeds, add the remaining files in smaller groups.
3. Reduce the file without harming the information
- Compress large images or save them as JPEG when transparency is unnecessary.
- Split a very long PDF by chapters or page ranges.
- Remove empty sheets, unused formatting, and unnecessary embedded objects from spreadsheets.
- Export a Google Docs file as DOCX or PDF.
- For scanned PDFs, use optical character recognition if you need ChatGPT to work with the text.
Do not blindly compress a spreadsheet into an unreadable screenshot. The right format depends on the task: structured XLSX or CSV is better for calculations, while PDF is useful when page layout matters.
4. Check the account and workspace
An “upload limit reached” message can appear when you are signed into a different account or workspace from the one you normally use. Confirm your profile, subscription, and active workspace. Project file allowances also vary by plan, and only 10 files can be uploaded to a Project at once.
5. Check for a ChatGPT service incident
Visit OpenAI Status before repeatedly retrying. If uploads are affected by an incident, changing the document will not solve the problem. Repeated failed attempts may also consume the rolling upload allowance.
6. Retry without browser interference
Refresh ChatGPT and try the file once more. If the problem remains, OpenAI’s troubleshooting guidance recommends steps such as clearing site data, using a private/incognito window, disabling interfering extensions, and turning off VPN or proxy connections. A different supported browser or the official mobile app can help establish whether the error is device-specific.
7. Delete files only when storage is genuinely the issue
Old uploads may count toward shared storage caps. When ChatGPT Library is available for the account, files can be managed separately from conversations. Importantly, OpenAI says that deleting a chat does not automatically delete a file separately saved in Library. Review Library files directly instead of deleting valuable conversations at random.
The upload succeeded, but ChatGPT cannot read the file
A successful upload does not guarantee perfect extraction. Standard document handling may primarily retrieve text, which means diagrams, scanned pages and complex layouts can be missed depending on the plan and feature being used.
Use a verification prompt after uploading:
Before answering, tell me the filename, number of pages or sheets you can access, the main headings you found and whether any pages appear scanned, blank or unreadable. Do not infer missing content.
For a spreadsheet, ask ChatGPT to list the sheet names, column headings and row count before performing calculations. For a long PDF, request a page-referenced outline first. These checks make it easier to catch incomplete processing before relying on a summary.
Privacy checks before uploading a file
Remove passwords, financial account numbers, health records, identification documents, confidential client information, and private API keys unless the task genuinely requires them and you are authorized to share them. Redact unnecessary personal information before uploading.
